How to Stop Feeling Like You’re Always Behind

You got into ownership for freedom, not chaos. If the practice feels like a messy room and you do not know where to start, here is the first pass with a trash bag and a plan.

Track these every week: production, collections, new patients, visits, reappointment percentage, treatment planned, treatment accepted. When one dips for a few weeks, it is a signal to investigate, not a reason to panic.

Install three simple checklists:

  • Beginning of day

  • End of day

  • Downtime

Start with the end of day. Verify that cash, checks, and cards match your software totals. Have the front sign it and put it on your desk. You do not need to do the work, but you must verify it was done.

Give your practice quality time: block recurring CEO time each week to review those seven numbers and the checklists. Clarity beats anxiety.

In our latest episode, we walk through the exact weekly dashboard, the wording for those checklists, and the six questions that align your team so they actually stick to the plan. There is also a story about how the numbers quietly revealed a leadership issue before it became a crisis.

The Math Behind Your Production Goal
Have you ever noticed how some dentists pick a production goal out of thin air? “I want to do 2 million this year.” Okay, based on what? Most people cannot tell you their required dollar per hour to hit that number, or how many days they actually need to work. That is the issue. If you cannot calculate it, you cannot manage it. Until you know your practice math, your goal is just a wish.  Annua...
How Patients Decide When to Say Yes
Case acceptance is bigger than an on-the-spot yes. In our latest episode, I break down one of the most underused concepts in dentistry: next time case acceptance. This is for the patients who hesitate because they are not fully bought in yet, not because they are the problem. The common mistake is trying to close harder in the moment. More explaining, more convincing, more pressure. You can fee...
The Most Expensive Metric You’re Not Tracking
Most dentists assume their phones are being answered just fine. The phone rings, the team is busy, and patients are coming in. So it feels handled. Here is the problem. If you haven't looked at your missed call rate or listened to any calls, you're probably losing more new patients on the phone than you ever lose to marketing, fees, or competition. The worst part is you do not feel it happening...
