The Secret to Office Manager Success That Most Dentists Miss

Every dentist dreams of that perfect office manager who takes everything off their plate and makes problems disappear. The problem is, that unicorn rarely exists.

Whether you promote from within or hire from outside, success always comes down to clarity, patience, and how you handle the transition.

Here’s what actually works:

  1. Start with outcomes. Define 3 to 5 measurable results this role owns, like treatment acceptance or schedule fill rate.

  2. Set expectations early. Tell the team that the first 90 days are about trust and understanding, not fast change.

  3. Build buy-in first. Have your new manager meet one on one with every team member to ask what works well and what could improve before changing anything.

Do those three things and your next office manager will have a real shot at success.

Until you know your practice math, your goal is just a wish.  Annua...
How Patients Decide When to Say Yes
Case acceptance is bigger than an on-the-spot yes. In our latest episode, I break down one of the most underused concepts in dentistry: next time case acceptance. This is for the patients who hesitate because they are not fully bought in yet, not because they are the problem. The common mistake is trying to close harder in the moment. More explaining, more convincing, more pressure. You can fee...
The Most Expensive Metric You’re Not Tracking
Most dentists assume their phones are being answered just fine. The phone rings, the team is busy, and patients are coming in. So it feels handled. Here is the problem. If you haven't looked at your missed call rate or listened to any calls, you're probably losing more new patients on the phone than you ever lose to marketing, fees, or competition. The worst part is you do not feel it happening...
