The Leadership Fix Behind Higher Collections

In a lot of offices, the office manager is really a super front desk person. They know every insurance rule, they solve every problem, and everyone goes to them for answers. They work hard, they care, but they are buried in tasks instead of leading the team or growing the practice.

The shift happens when you stop paying them for activity and start rewarding them for results.

In this episode, I break down how to turn your office manager into a true leader by using a simple KPI based bonus system that:

  • Aligns their daily focus with the health of the practice

  • Forces them to train and lead the team instead of doing everything themselves

  • Gives both of you clear, objective metrics to look at together every month

Here are a few tactical ideas you can pull straight from the episode:

  • Pick 4 to 6 KPIs your office manager can directly influence, such as collections percentage, AR over 60 days, schedule utilization, Google reviews, or new patients per doctor.

  • Attach a dollar amount to each KPI, plus an extra bonus if they hit all of them, so it is not all or nothing.

  • Meet monthly and talk in terms of systems, not tasks. Ask, “What are you changing to move this KPI?” instead of “Did you remember to do this?”

When you reward your office manager for leadership and systems instead of how many fires they can put out, they move from senior receptionist to true engine of the practice.
